Knowledgebase : Users

Refer the attached guide on Bulk user upload and the Excel Template for uploading multiple Users into the NetExam Learning Management System (bulk upload).

When a user states that the date format they are seeing is incorrect, please submit a support ticket indicating the user’s “Country” and “Language”. We will update our records to reflect the correct date format.

From the Admin site, click on General Tab - Click on Self Registration - Click on “Available”.

Self Registration is configured by user Role, Type, Group and Cost Center.

You may change and customize the settings that will be shown in the User Registration form. When finished, click the Submit button. This will activate the Register button on the Student Login page.

For additional information, see the attached NetExam Self-Registration Guide.

Your learners can login to NetExam system using his/her LinkedIn account username and password. When the user clicks the Login with LinkedIn button on the Learner Portal login page, it directs the user to enter their LinkedIn username and password.

After submitting their username and password, the system will check if a user record exists in NetExam with a matching email address. If a matching record is found, the user will be logged in. If not, a new user record will be created for the user with information retrieved from LinkedIn.

This functionality can be turned on/off via the NetExam Admin Application by System Administrators.

To enable LinkedIn login:

  1. Go to General: Self Registration Configuration.
  2. Select Enable Linked In: Enable. Note: Login from LinkedIn is available when the Self Registration Siedget is enabled.

The Login with LinkedIn button will appear on the Learner Portal login page.

When adding a user, NetExam requires that a Strong password be created.

The minimum requirements for a Strong password in NetExam are:

  • Minimum 8 characters in length
  • It must contain at least one letter
  • One number
  • One symbol or special character.

For example, this password meets the requirements: Abcd!234

ROLE BASED ACCESS CONTROL FUNCTIONALITY FOR USERS

Role Introduction

This new functionality allows you to change Role permissions for an Administrator for Users (Users, New User, Manage Enrollments and View Transcripts) using Role Management Module

 - “Users” permission allows the Administrator to select multiple User Groups and User Types to give rights to be able to access records and search for Users who belong to the selected User Group and User Type.

- “New User” permission allows the Administrator to select multiple User Groups and User Types to give rights to create a New User within the selected User Group and User Type.

- “Manage Enrollments” permission allows the Administrator to select multiple User Groups and User Types to give rights to manage Course registration of Users and search for User records of Users who belong to the selected User Group and User Type.

- “View Transcripts” permission allows the Administrator to select multiple User Groups and User Types to give rights to be able to view the transcripts of Users who belong to the selected User Group and User Type.

Full Access under each section would give the Administrator unlimited access to all areas of the User role module.

Custom Access gives the Administrator to select the required User Groups and User Types for each module.

Users Module

The Administrator will have to select specific User Groups and User Types that will have permission under this module.

The Select User Groups button will display a list of User Groups in the system.

Similarly, Select User Types button will display a list of User Types in the system.

Selected are the User Group “MD Test User Group” and User Types “Administration”, “Public” and “Sales” for the Users Module.

By this, the Administrator under this User Role will be able to access records of Users under these permitted User Groups and User Types only. (If only this module has been selected for the User Role, only the Users tab will be visible in the Admin site)

When the Administrator searches for a User, he/she will be displayed with Users belonging to the permitted User Groups and/or User Types only.

When entering an email address on the search option on the left of the Admin site, it would only display records of Users belonging to the User Groups and/or User Types that have permission under the viewers User Role.

And upon searching, the search results would display only the Users belonging to the User Groups and/or User Types that have permission under the viewers User Role.

New User Module

Similar to the Users Module, here also the Administrator can select specific User Groups and User Types to allow permission under this module. Though, the list of User Groups and User Types available for selection would be limited to only the ones that were selected under the Users Module.

This permission gives the Administrator permission to create a New User in the system and the New User tab will be present when this module has been selected.

When creating a New User (user-addedit.asp page), if the Administrator clicks the Select Primary User Group button, the pop-up window will display only the User Groups that have been permitted for the viewers User Role.

When the Administrator is selecting a User Group for the User by clicking the Select User Group button, the pop-up window will display a list of only the User Groups that have been permitted under the User Role. And the   icon would appear next to User Groups that have been permitted only, to be removed from the User’s list of User Groups.

When the Admin is selecting a User Type for the New User, the drop down under the User Type field will contain the permitted User Types selected in the New User Role Module.

If the Admin has a User Type that is different to that which has been permitted, it would also be displayed in the drop down list. (Permitted User Types were “Administration”, “Public” and “Sales” and the User has “v6TestUserType”, which is also displayed)

Manage Enrollments Module

Similar to the other modules, here also the Administrator can select specific User Groups and User Types to allow permission under this module. Likewise, the list of User Groups and User Types available for selection would be limited to only the ones that were selected under the Users Module.

When the Administrator views a User’s profile, if the User belongs to the User Group and/or the User Type that has been permitted under the Admin’s User Role under the Manage Enrollments module, the   button will be displayed.

This would allow the Admin to enroll the User onto training in the system and edit currently enrolled training.

If the User that the Admin is viewing does not belong to either a User Group or User Type that was permitted under the Manage Enrollments module, the  button will not be displayed for that particular User.

View Transcripts Module

This module also functions in a similar manner, where the Administrator can select specific User Groups and User Types to allow permission but the list of User Groups and User Types available for selection would be limited to the ones that were selected under the Users Module.

This module allows the Administrator to view a Users Transcript, if the User belongs to the permitted User Group or User Type. If this condition is respected, the Users profile will display the View Transcript button.

If this condition is not respected, the View Transcript button would not be shown.
